Basic required knowledge

Your events are managed from the My Events page. There you will have a dropdown box where you can select which one of your events you want to work with right now - as well as create new events.

Setting up an event is basically divided into the following different sections:

  1. Basic Event Settings — Basic event setup with dates, location, basic fields, how to handle payment, and a number of other settings for the event.
  2. Products — A list of products or services that can be purchased. Each booking can purchase one or more products, and in a desired quantity.
  3. Custom Fields — Any extra questions you want to ask participants. You can have up to 40 different types of questions you may ask the participant when they make a booking, eg. which package they want, lodging, meals, or special needs. This is normally also where you build your pricing logic.
  4. Custom Pricing — If the custom fields do not provide enough granularity for setting prices, you can define custom pricing logic that will truly be able to cover any need you might have.
  5. Discount Codes — In case some people should get a special price (or free registration) by using a discount code you can set those up here.

New "products" feature in beta testing

Products is currently an additional feature: it lets each booking purchase one or more products (eg. tickets, add-ons, merchandise) in a desired quantity, on top of whatever you've set up with Custom Fields on the booking-level. It's not yet about choosing one or the other. Each product can also have its own Custom Fields (currently limited to the dropdown type), which is useful for defining variations of a product, eg. size or color.

Longer term, the plan is for Products to grow into a full alternative to Custom Fields for simple ticket sales - so each product can have its own questions, letting you set up several different ticket types, and easily register multiple participants per booking (this is different from the Multiple people per booking guide below, which is a way to book multiple people with the current Custom Fields setup). Until then, keep using Custom Fields as your main setup and pricing tool, and add Products just for extra items to sell.

As mentioned the system can handle any kind of pricing structure. Though for your own sake we recommend keeping it as simple as possible — it will save you for many headaches. Also remember to consider all age groups, and people who will only want to be day guests (if allowed).

When you are ready to preview the booking form go to My Events and click the link where it says Booking page near the top of the page. Once you have reviewed that everything is correct, tested ALL possible price combinations, and preferably tested making a booking, you go to Basic Event Settings and set the event as active. Now people will be able to go and make bookings for your event.
